Making life easier for staff and parents: Pinehurst School’s success with RollCall

With nine bus routes and hundreds of students, Pinehurst needed clarity. RollCall delivered.

Grounded in values and growing with purpose

Pinehurst School is a private co-educational school in Auckland, New Zealand, catering to around 1,000 students from Year 1 through to Year 13. Pinehurst prides itself on delivering a strong academic offering alongside a supportive, well-structured learning environment.

Managing transport with spreadsheets and hope

With an average of 200 students using school transport daily, Pinehurst operates nine bus routes, varying from 30 minutes to an hour. While transport is well managed, staffing can be unpredictable, with temporary drivers sometimes required to fill in – adding complexity to an already dynamic situation. Previously, managing this setup relied on manual processes: spreadsheets, scattered notes, and a lot of back-and-forth between the school and transport providers. Pinehurst had no real-time visibility over where buses were or which students were onboard, leaving staff in a reactive position when things didn’t go to plan.

Reactive systems and rising frustrations

Pinehurst’s transport operations were running blind. Without a centralised or real-time system, the school relied on manual workarounds and fragmented communication, putting pressure on staff and creating daily disruptions no one had time for.

  • Bus live location was mostly invisible, making it difficult to respond quickly to concerned parents.
  • Some students were using the bus service without paying, due to weak verification processes.
    Reception was overwhelmed during morning delays, as late-arriving students had to report before going to class.
  • Temporary drivers were difficult to manage and support under the existing system.
  • Communication between school staff, parents, and bus drivers was inconsistent and time-consuming.

“I used to get a lot of calls from parents,” says Jon Horne, Business Manager at Pinehurst School. “They’d always assume the bus had left without their child. The bus could have come early, it was usually running late, but the assumption was always, ‘They’ve missed it.’” With limited visibility over bus movements, staff were constantly fielding calls and chasing updates. The school needed a way to reduce the administrative load on reception, streamline communication between all stakeholders, and provide families with real-time information, without adding more work for staff.

What a difference one month makes. In the space of just a few weeks, schools are re-inventing themselves from traditional learning methods to adapt to remote learning. Everything is moving so fast that there has not been time to strategically consider how students’ remote attendance can be verified.

As fellow Australians, we are all in this together and RollCall has had to adapt to help our clients. Using our current software that our clients are already using; RollCall has adjusted a few things to make a Student Remote Attendance System.

The responsibility for structure, routine and validation of student’s attendance is now in the domain of parents and schools have expressed this to be a challenging and complex new issue that must be resolved. Even when attending classes remotely, the school needs records of attendance and absenteeism and students need to be able to verify their participation in learning activity.

So, what is the connection between RollCall School Bus Management software and remote learning attendance?

RollCall attendance is important in the new remote learning circumstance as it will engage the parent independently of the students in the attendance and learning process.

It ensures the parents take responsibility for the children being ready for learning.  Confirming they are awake, dressed for school, had breakfast and are at their desk with their devices switched on, with pen in hand and ready to go.

How long will it take schools to transition from the RollCall Bus Management to Remote Learning Attendance System?

A single staff member (familiar with RollCall) will be able to transition across in around 1 hour.

Secondly, and most importantly, since most parents already have the RollCall Parent App, the instructions for parents to adjust will be minimal. These parent instructions will be provided online by RollCall.

Should there be the need, RollCall can concurrently cater for schools that will be managing both Remote Learning and Emergency Service Personnel’s students transport.

Queensland takes the lead in student safety on buses

It is good to see the Queensland Department of Transport and Main Roads is taking a strong lead in the area of student safety on buses.

The Department and RollCall seem to be on the same page. It would appear our free offer of the new Bus Guardian module to our existing and new clients is very timely.

Dear Transport Provider

Thank you for the important role that you as transport providers do in connecting Queenslanders with work, play and essential daily services daily.

Unfortunately, we have observed incidents recently where young children have been left unsupervised withing vehicles for extended periods of time. Tragically, one incident resulted in the death of a three-year-old child.

We acknowledge the range of existing safe work processes already in place but encourage all transport operators to review their training, policies and procedures to reduce the risk of passengers being accidentally left in vehicles.

Routine practices, such as ensuring records are up to date, roll checks, head counts, and physical vehicle inspections are essential components for managing and minimising risk for users of transport services. Transport providers are encouraged to ensure these essential processes are undertake consistently without exception.

The Department of Transport and Main Roads will continue to work with transport operators to ensure robust procedures are implemented that provide a safe environment for all members of our community. This message will be reinforced through our routine regulatory role.

Positive feedback for RollCall

Here at RollCall, we take the task of keeping kids safe very seriously. So, when we receive glowing reviews from parents we know we are on the right track. See below for some recent feedback.

I have found the system very useful as a new parent at Wellesley. My son also feels more confident taking the bus because of RollCall.

My son is in year 5 and is new to taking a bus to school. The RollCall app provides us both with great assurance as he sets out on his own. I use the app to easily schedule his busses in advance, some days he comes and goes from my workplace and other days from closer to home, and I can cancel the bus when we have made other arrangements. I get an email when he boards and disembarks so that I know exactly when he was on the bus and where he has gotten off, and I even know the driver’s name. He has his fob for tagging on and off on the zip of his backpack so it is easy to find when he needs it, and it does not get lost. In the app I can track his bus in real time so if there is ever a delay, I know right where he is. The app provides me with great confidence as a parent. My son like it because he knows that I am aware of his comings and goings and he won’t miss his stop or get off at the wrong place. I am so glad that his school offers this tool to parents and students.

Fantastic business to add safety for children to every school’s planning. If you know who is on each bus, when they hopped on and when they are hopping off, it must give parents confidence and increase the safety for the children. Well done Dean and your team in bringing these solutions to market.

Kids find the system quick and easy to use. They don’t even have to look at a the screen, they just listen to the ‘beep’ to know the tag has been activated. Great way of keeping track of several kids using different bus stops if needed.

RollCall helping to fight traffic congestion

We’ve all driven to work during school holidays and noticed that peak hour traffic is significantly reduced. New research conducted by Griffith University in Queensland has shed light on exactly what is happening. The study has identified that students being driven to private schools has a disproportionate impact on traffic congestion. In recent years private school enrolments have risen sharply in Australia and car trips to private schools are often twice as long as to public schools. The research findings as reported by the ABC are fascinating.

Some key points raised by the article include:

  • More students travel by car to private high schools and the journeys are nearly twice as long as for public schools.
  • These school trips are made during peak hour so have a disproportionate effect on traffic congestion.
  • The private school sector has grown significantly in recent years and many new schools are located in outer suburbs or remote locations far away from public transport.
  • Road congestion costs are sky rocketing in Australia and the effect of the congestion caused by car travel to schools needs to considered carefully.

How is RollCall helping?

When we created RollCall we had planned primarily to make an impact on student safety in schools. However, there is now a host of other benefits that are coming to light. Most importantly, in the context of discussing congestion, we have found that schools that introduce RollCall are able to increase school bus utilisation. This means more kids on buses, fewer car trips, and less congestion – particularly at peak hour.

Specifically, it is with RollCall’s Smart Route tool  that schools are able to accurately map routes to get more children onto buses. Not only are buses the safest medium for children to get to school, bus travel also reduces the school car traffic and dramatically reduces the space required for parking.  See the diagram below for details.

RollCall Feedback

Recently, we reached out to all our clients across Australia and New Zealand  and asked for feedback as to how RollCall has impacted their school life. The response has been overwhelmingly positive, and apart from the obvious improvement to safety and student visibility, the themes that keep coming up are:

  • More efficient bus routes improving student welfare outcomes
  • Improved efficiency in school bus management, including less calls from parents
  • Improved bus utilisation thereby reducing car commutes as well as movements in and out of the school at drop off and pick up time.

On the last point, we are now working with educationalists to build a module that can be studied in schools. The modules would be delivered in environmental classes and would discuss and quantify the impact of RollCall in reducing the school carbon foot print. We are passionate about this as everyone who works at RollCall truly cares about climate change and feels that what we are doing can have a positive impact

Why it’s important to measure school bus commutes

I was a bus traveller when I was a student. Each day I travelled for one hour each way. I accepted it as my lot and just the result of my parent’s choice of school for me to attend.

I remember reading a lot, doing some homework and chatting to the other kids around my seat. One of my most vivid memories was the tiredness I felt at the end of the journey and the compounded tiredness at the end of the week. I would get home and just feel like resting. Finding the motivation to do more than just plonk myself in front of the TV was very hard. Of course, I did do more, because the nightly edition of Get Smart came to an end and we had to go out and do our chores (and avoid Kaos).

The point I am making is that long commutes on buses take their toll on our youngest citizens.  As the adults charged with the management of school bus networks, we have an obligation to firstly, measure the transit times and secondly, improve them where it is possible.

Fast forward to 2019 and we know that the average time a student spent in transit on a RollCall equipped bus in August was 42 minutes. We know this because we measured over 785,000 journeys in August 2019.

What are some of the effects of these long commutes and why is it important to measure them?

Lack of sleep

Research out of the United States has found that students that spend long periods of time commuting have their sleep patterns disturbed. This research has found that 1 minute on a commute converts to 1.3 minutes lost sleep. Why is this important? Because all children need adequate sleep to function at high levels. Not only that, we now know that lack of sleep can lead to a host of health problems including obesity and mental health issues. Reference 

Missing out on life

Long commutes on buses can have other knock-on effects. In rural areas, long commutes can determine if students can get back to their local communities to participate in local sport and cultural activities. It is important that students do both, in order to build and maintain their sense of community belonging, not to mention, maintain healthy bodies and minds. Children may get back in time, but with long commutes, they can be tired (as I was) and not have the energy levels to then attend these activities, or, if they are in senior years, be conflicted between study and activities for the precious time left in the day.

Too much screen time

There is one other issue that needs to be discussed. Is bus time just unsupervised digital time? Talk to any bus driver and they will  confirm that it is exactly that. Bus drivers we speak to report that kids have their heads buried in their devices for sometimes the entire trip – only looking up to get off the bus (and sometimes not even then).

“Let the kids relax”, I hear you say. And yes, you may be correct to an extent – and I’m not for a moment suggesting we ban digital devices on buses. But let’s be honest, the world seems to be hooked on smartphones, and long bus trips provide the perfect environment for uninterrupted screen time. Is this a problem I hear you ask? Well, recent studies have found that blue screen time releases dopamine in children’s brains and it is this release that ensures they are glued to their screen for the next hit of adrenaline. It creates anxiety and stress for our young people. Remember, they don’t have the benefit of an adult brain to balance these chemical reactions. Take the time to read Teen Brain by David Gillespie if you would like to know more.

Ever wondered why your children seem to be in an agitated and aggressive mood as they get off the bus?  If they have just been immersed in their smart phone there is a good chance their bodies are coursing with dopamine. It is also not the ideal state for a young mind to be in at the start of a school day either, hardly in the right state for learning.

What can we do about all this?

Well, I wish I could wave a magic wand and teleport all the children to school. Unfortunately, the reality is we will always have rural students who need to be bused into school and parents will select schools for their children that are far from home. In an enormous country like Australia this is just part of life. But that doesn’t mean we shouldn’t try everything in our power to reduce long school bus commutes.

RollCall has tackled the issue head-on.

Here at RollCall we always say “If you can measure it, you can improve it”. So that’s exactly how we start our 3 step process.

  1. We measure the time students spend on the bus. No guess work, just good data.
  2. We have a series of bus trip performance KPI’s that ensure buses are meeting critical time milestones.
  3. Critically, we provide a route planning and measurement tool called Smart Route to optimise the school bus routes.

How does Smart Route Help?

Smart Route lets you plan your routes to best meet the needs of students by:

  • Mapping the bus travelling cohort, you can map the stops that meet critical safety criteria and reasonable proximity to the service clusters of students in the area.
  • Smart Route lets you also map the non-bus travelling cohort. Why? Because some of these students could potentially become bus travellers and in some cases create bus routes that are shorter if the volume of bus travellers goes up. I know this sounds counter intuitive but it does work in many situations. Our consulting work with schools for Smart Route reveals it time and again.
  • Smart Route allows you to project transit times. Move the stops around and see if it makes a difference. Move the stops from one route to another when possible and see if you can get the route transit times to reduce across the board. Children left on school buses – Prevention and Risk Reduction

Summer is coming, and for those of us involved in the bus industry our thoughts immediately go to the increased risk the summer heat presents when accidentally leaving children on school buses. Any time is a bad time to leave children on a bus – but in summer it can be very dangerous and even fatal.

While bus companies and schools have implemented many different operating processes over the years, children still get left on buses and the summer heat presents an added danger.

Everyone involved in leaving a child on a bus accidentally are traumatised by the experience. Not only the student,  but also their parents and those charged with the care of the child.

RollCall has been providing a proven solution to this problem that while engaged for special needs education transport has also been used in conventional education.

Our solution – detailed here by our technology partners Samsung – identifies and engages all the people involved in safety of children on buses.

Drivers, supervisors and teachers all logon or scan onto our in-bus units to identify themselves. On the morning school bus runs all three (driver, supervisor, teacher) are required to scan our unique Bus Check Boards fitted to the back of the bus, in doing so confirming individually that the bus is clear of children, and water bottles, clothing, and whatever else may have been left behind!

The afternoon route has a slight critical variation. Once the three key staff are all identified on the system and the students are loaded, it is the teacher’s responsibility to walk the length of the bus, check that all the students are seated in the correct seats, have their seat belts clipped in and then scan the back of the bus, confirming with a green icon on the Bus Field App that the bus is clear to leave. We call it the custody handover.

The bus staff then proceed to deliver the students to their stops and on completion of the route when the Bus Field App displays zero students on board the supervisor and driver both scan the back of the bus and time and date stamp the scan, ensuring the bus is empty.

It’s a proven system and while conventional schools do not have supervisors on board they do have drivers and staff who con confirm the bus is clear of children, the school’s duty of care have been met and everyone has peace of mind.

RollCall Top 6 Safety Tips for Bus Travel

Smart travel is safe travel, and travelling on a bus is no exception. In fact bus travel can present some unique safety risks. The world has become a more complicated place and at RollCall we have become increasingly concerned about the number of distractions children may encounter when getting on and off buses. We all love our technology, but mobile devices, headphones, and augmented reality apps have increased the likelihood of pedestrian accidents.

In 2016, The Age reported that 196 pedestrians had been killed on Victoria’s roads in the span of five years, with distraction emerging as a major factor.

For this reason we have created a safety campaign that tackles this message head on. Along with traditional safety messages.

What we’re doing to help

Every time we send out a device to a client we accompany it with two safety stickers to be fitted to school buses. In addition we encourage our schools to send our bus safety video to all students.

It is important we all work together to get these important messages across to all students, they are our future. So, without any further ado, here are the tips!

  1. Look out for traffic – because traffic is not always looking out for you
  2. Remove your headphones when getting on or off the bus
  3. Put your phone away when getting on or off the bus
  4. Wear your seat belt at all times
  5. Wait until the bus leaves before you cross the road
  6. Follow Instructions from your bus driver

Funny how things work out

This week I had an accident with my car. I backed into a truck and damaged the back of the car. Just enough damage that every time I look at it I curse myself for being so absent minded, I swear the truck was not there when I got into my car!

Today I dropped in at my local Panel Shop to get the repair quoted. I spoke to the owner, lovely guy who took all my details and then asked me what RollCall was? (I was wearing my company jacket).

I proceeded to tell him about how we managed school bus systems for schools Australia wide. I said to him, while we made managing buses more efficient for schools, we were now very focused on delivering better welfare outcomes for the students who travelled on our networks.

One example I gave was our live in-cabin safety alert that notified the school bus driver if a student was boarding the incorrect bus. Not only that, the system also notifies the bus driver which number bus the student should be getting on.

My new 58-year-old friend then proceeded to tell me that he was not scared of heights or any other common phobia BUT he was terrified of bus travel. Why on earth I asked?

Because when he was a child living in country Victoria, he boarded the wrong bus home one afternoon. It turned into a traumatic experience and to this day he has very bad memories of the event.

So, when schools tell us that since they introduced Rollcall and the in-cabin safety alert feature is switched on, they have never had a child go home on the wrong bus all our hard work seems worth it!
